An AI receptionist that answers every call, day and night.
This is the system I build most often, and the one that pays for itself fastest. It picks up on the first ring at 2pm and at 2am, books the appointment while the caller is still interested, and hands over to you when the call actually needs a person.
What it actually does
It answers your phone. Not with a menu tree, and not with a recording. It has a conversation, works out what the caller needs, and does something about it before they hang up.
- Answers 24/7. Evenings, weekends, and the twenty minutes you are under a sink or in a chair with a client. Every call gets picked up.
- Books straight into your calendar. It checks real availability, offers real slots, and confirms by SMS while the caller is still on the line.
- Transfers when a human matters. Angry customer, unusual request, a deal worth interrupting you for. It hands over with context instead of pretending it can cope.
- Handles outbound too. Follow-up calls, reminders, and reactivation of leads who went quiet.
- Speaks more than one language. Useful more often than most owners expect.
- Logs everything in your CRM. Who called, what they wanted, what was agreed, what happens next.
Try it before you believe any of this
There is a live demo on the homepage. Put in your number and it calls you back in about 30 seconds. Ask it awkward questions, talk over it, try to book something impossible. It is the same system I build for clients, not a scripted showreel.
I would rather you find its limits in a two-minute test call than discover them after paying for it.
Where it makes the most difference
Any business where a missed call is a lost job. Trades, dental and medical practices, salons and med spas, real estate, law firms, and home services. There are dedicated pages for plumbers, HVAC companies and electricians, because the calls those trades get are not the same and neither is the handling. If your phone rings while you are doing the actual work, this is the gap it fills.
The reason it pays back quickly is unglamorous: most people who reach voicemail call the next business on the list rather than leaving a message. You are not losing calls, you are losing jobs, and you rarely find out which ones.
What it is not
It is not a replacement for your front desk if your front desk does real work beyond the phone. It is not going to handle a genuinely emotional call the way a good receptionist does. And it is not a fit if your callers need someone to make judgment calls on the spot that only you can make.
If that is your situation, I will tell you on the audit call rather than sell you one anyway. There is an honest comparison with answering services on the blog if you want to think it through first.
How it gets built
Discovery, then design, then testing, then launch, then support. Most voice builds are live inside two to three weeks. I test against real scenarios and edge cases before it takes a single real call, because the failure mode that matters is not a clumsy sentence, it is a booking that never reached your calendar.
It is built on Vapi, Twilio, and ElevenLabs, wired into whatever calendar and CRM you already use. You see the tool costs before we start.
Common questions
Will callers know they are talking to AI?
Most people work it out, and I build it to say so if asked directly. In practice callers care much more about whether their problem got solved than about who solved it. Pretending to be human is where these systems lose trust, so I do not do it.
What happens if it cannot answer something?
It transfers to you or takes a message with full context, depending on what you want. It is built to hand over rather than guess. Anything it could not answer shows up in the logs, which is how the system gets better over time.
Can it work with my existing phone number?
Yes. It can answer your main line, or sit behind it and pick up only the calls you miss. Plenty of owners start with the second option because nothing changes for callers who already reach you.
How long until it is live?
Usually two to three weeks. A simple setup answering missed calls can be running in days. You get a timeline before we start and you see progress as I build.
How much does it cost?
Every build is custom, so pricing depends on scope. You get one fixed price before I start, and you pay it when the system is built and answering calls. No retainer, no hourly billing. You cover the tool costs that run the system, which I keep lean and show you up front. The free audit is where you get a real number for your business.
