Your crew talks. The paperwork writes itself.
Foremen and field staff know exactly what happened on site today. What they do not want is to type it into a risk assessment at 7pm. This system lets them say it into WhatsApp instead, and turns the voice note into the finished, branded document your business already uses, filed against the right job and waiting for someone to check and sign.
What is voice note to report automation?
Voice note to report automation turns a spoken update from the field into a finished written document. A worker records a voice note on their phone. The system transcribes it, works out which job it belongs to, fills in your existing template with what was said, and produces a branded PDF that is saved to the job's folder and sent to whoever needs it. A person still reviews and signs it. The typing is the only part that goes away.
How it works
- Someone on site sends a voice note. On WhatsApp, Telegram or a simple web link, whatever your team already uses. They talk the way they would to a colleague: what was done, what was found, what needs doing next.
- It is transcribed and matched to the job. The system picks the site, job number or client out of what was said and who sent it, and pulls the matching record from your job management system or spreadsheet.
- Claude fills in your template. Your document, your headings, your logo. Anything the voice note did not cover is left visibly blank and flagged, never invented.
- A branded draft lands in the right folder. Saved as a PDF to SharePoint, Google Drive or your job system, against that job, and the person responsible gets a message.
- Someone checks it and signs. A draft stays a draft until a named person approves it. Then it is filed as final and sent to the client, the project manager, or whoever is on the list.
Documents it handles well
- Site diaries and daily reports
- Risk assessments and method statements
- Plant, equipment and site registers
- Inspection, snagging and handover reports
- Job sheets and service reports
- Incident and near-miss reports
- Quotes drafted from a site visit, with prices checked by you before anything is sent
The math
Count the people who do paperwork after the work is done, and the hours each one spends on it a week. Five foremen at five hours each is 25 paid hours a week going into typing. Put your hourly rate next to that and you have the number this system is measured against.
The second cost is harder to price and often bigger. Paperwork that runs days behind the work is a safety and compliance risk, because the record is not there on the day someone needs it.
Where I draw the line
It drafts. It does not sign. Safety documents need a competent person to read and approve them, and the system is built so a draft can never be mistaken for an approved document. If a voice note is missing something the template needs, the draft says so instead of guessing.
I start with the one document your team hates most. Once that one works, adding the next is quick, because everything around it is already in place.
Who it is for
Businesses whose people are on their feet rather than at a desk: building contractors, electricians, plumbers, HVAC, landscaping, property maintenance, inspectors and field service teams.
It fits best when you are already busy. It gives your team time back; it does not bring in work. If you are short of customers rather than short of time, start with something that brings them in, like the AI receptionist or client intake automation.
Common questions
Does my team need to learn a new app?
No. If they can send a voice note, they can use it. That is the whole point: nobody has to change how they work for it to be useful.
What if the transcription gets something wrong?
Site noise and trade terms do trip transcription up sometimes, which is one reason a person reviews every draft. Before it goes live I tune it on your team’s real voice notes, including the jargon and the job names.
Where are the documents stored?
Wherever you keep them now: SharePoint, Google Drive, Dropbox or your job management system. It runs in your accounts, so the records stay yours.
Can it fill in our existing forms?
Yes, and it should. Your templates, your logo, your headings. If a form has a field the voice note did not cover, that field is flagged as empty rather than filled with a guess.
How much does it cost?
One fixed price, agreed before I start and paid when it is built and running. No retainer. Starting with one document keeps the first build small. You cover the running costs, like transcription and AI usage, and you see those before we start.
